Data Management and Sharing Plan Guidance

A Data Management and Sharing Plan (DMSP) outlines how the study team plans to manage and share scientific data, associated metadata, other relevant data, and related documentation produced by the study. Effective January 25, 2023, the new NIH Data Management and Sharing Policy requires submission of a DMSP with any proposals involving scientific data generation. Duke is participating in the Federal Demonstration Partnership (FDP) NIH DMSP Template Pilot, which is testing the effectiveness and usability of two DMSP templates developed in collaboration with representatives from participating NIH Institutes and Centers (ICs).  The ultimate goals of the pilot are to harmonize DMSP requirements across NIH ICs and programs and to mitigate the administrative burden for researchers associated with DMSP development and implementation. Duke Superfund projects can participate in the pilot by selecting one of the pilot templates for use within DMPTool by indicating the National Institutes of Health (NIH) as funder on the Create Plan tab (see image below).

  • Alpha template: a prescriptive template designed to limit the need for free text entry.  
  • Bravo template: designed to provide detailed prompts as well as more options to include free text responses as necessary.

Once finished, complete a brief Qualtrics survey about your experience using the template once your DMSP is complete. 

Alternatively, project teams can utilize the default DMSP template. This template also includes fill in the blank example language for ease of use. All 3 templates have been designed to meet NIH requirements for DMSPs. 

The DMAC recommends that ALL Duke Superfund projects…

  1. Transfer their DMSPs to one of the three DMPTool templates mentioned above
  2. Sign up for a DMP ID as part of this transfer process

DMP IDs are DOIs designed specifically for data management and sharing plans. By registering, project teams will be able to link this plan to their ORCIDs, and to project outputs such as datasets and journal articles which will make it easier to show that you met your funder’s requirements by the end of the project. This can be done on the “finalize” tab in DMPTool.

Data Chain of Custody Guidance

The Data Chain of Custody Guidance document is a helpful overview of best practices surrounding the data life cycle and how research teams can ensure data provenance. This guidance outlines procedures and tools that can be implemented so that laboratories can follow the flow of data from generation through reporting, while maintaining adequate records and transparency on how the data evolves through these processes.

Quality Management Plan Template

The Data Quality Management Plan serves as a guide to ensure that the data used in the research project is of high quality and that appropriate measures are taken to maintain its integrity throughout the project lifecycle. Outlining the steps and procedures that will be followed also helps establish consistent practices and procedures for data handling, analysis, and reporting, ultimately contributing to the reliability and reproducibility of the research findings.

Sensitive Data Sharing Resources

Research studies involving sensitive data collection typically require implementing additional protective measures before sharing data. The HEAL Data Stewardship group compiled resources on sharing various types of sensitive data that may be useful to Duke Superfund researchers, and on future projects.
